PHILANTHROPY ASSOCIATE

Ability Central is seeking a full-time Philanthropy Associate to join the Philanthropy team. This role supports the Philanthropy team to support fund development work, including helping to research funding prospects and track and acknowledge donations.


The Philanthropy Program Associate assists the grants officer with grant applications, evaluating the effectiveness of grant projects, supporting the Grants Team and Ability Central Advisory Group, and providing non-grant support to grantees.
In addition, the Philanthropy Program Associate and provides support to the Communications Manager including assistance with grantmaking activity and news.

ESSENTIAL DUTIES AND RESPONSIBILITIES

FUND DEVELOPMENT SUPPORT
• Support the Director of Philanthropy in researching prospective institutional donors.
• Work with the Director of Philanthropy on outreach and relationship building with (prospective) corporate supporters
• Maintain and update Salesforce grantseeking function to track all prospects, outreach and communications.
• Develop and organize relevant materials for grant proposals and reports.
• Monitor grant and reporting deadlines and update the grants calendar.
• Ensure all grants and pledges are entered into Salesforce, and other systems, and acknowledged in a timely manner.
• Acknowledge individual donations and maintain donor database.
• Work closely with CCAF finance team to reconcile Salesforce records with financial accounts


GRANTMAKING ADMINISTRATION DUTIES
Support Grants Officer in reviewing and monitoring grant applications
• Support the APM in reviewing the effectiveness of the projects of funded organizations and other grant initiatives, including reviewing submitted reports
• Maintain and update grant-related information and data in the Ability Central online grants management system.
Scheduling and Meeting Logistics:
• Coordinating catering and logistics for in-person events
• Administering surveys and follow up items to Grantees after meetings.
• Coordinating and scheduling grant meetings
• Reporting, Contracts, Payments
• Assigning, Receiving, Processing Grantee Reports
• Submitting & Tracking Payments and Travel Reimbursements
• Mail merging Organizational Information into contracts
• Assigning and tracking contracts in Docusign


Maintaining Grants Management System (GMS) and email
• Maintaining and updating the GMS (currently Foundant but moving to Salesforce next year) to create new application forms and procedures for each grant cycle and to monitor and manage submissions.
• Managing the grants email: Answering, tracking, and resolving or re-directing questions to the right person about process, deadlines, user logins, changes of contact, or changes in primary applicant.
